Paste this address into "add calendar by URL". It updates on its own.

One way only. Meetings booked here show up in your calendar. Anything you add or block in your own calendar is invisible to us, so we can still book over it. Keep the booking in here.

Treat the address like a password. Create a new one if it ever gets shared, and the old address stops working immediately.

Meetings

Success fee

Accounts we sourced

A fee is only ever charged on accounts we brought you. The customers you already had are on your excluded list and are never charged, whatever they go on to buy.

How this works

Tap any question to open it. If something here does not match what you see on screen, tell us and we will fix it.

The pipeline

Every company you are selling to is a card. Cards sit in the column that matches where the conversation has got to, from New Lead through to Order Confirmed.

Drag a card to a new column when things move on, or open it and change the stage there. Either way it saves straight away and everyone else sees it.

Click any card to open it. That is where the phone number, the email address and the whole history of the conversation live.

Logging what was said

Open a card and use Log a touch. Pick whether it was a call, a WhatsApp message, a meeting or just a note, write what happened, and save it.

Write what a colleague would need in six months: who you spoke to, what they buy, what they pay now, when to try again. "Called, no answer" helps nobody.

Anything you log counts as contact, so the card stops being flagged as gone quiet.

Scanning a business card, and the hello on WhatsApp

Press + Prospect, then Scan a business card, and photograph the card. The company, the name and the phone number are filled in for you. Check them before you save.

If the card has a phone number, a Say hello on WhatsApp button appears. It opens WhatsApp with a short "nice to meet you" message already written in your name.

Nothing is sent for you. Add one line about what you actually talked about, then press send in WhatsApp yourself. It is noted on their timeline when you save the card.

For someone you add by hand with a phone number, the same hello is ready for them in the WhatsApp tab.

To change the wording, go to Settings and edit the "Nice to meet you" WhatsApp box. {name} becomes their first name, {company} their business, {me} your first name and {org} your business name. Leave a blank line between paragraphs so it reads well on a phone.

The red "no contact" flag

If nobody touches a live prospect for a while, the card gets a red flag and it is counted under Need attention on the dashboard.

This is the whole point of the system. Deals are rarely lost by being turned down, they are lost by going quiet. Work that list first.

Admins can change how many days count as quiet in Settings.

Appointments

Book a meeting from inside a prospect card, so the meeting stays attached to the company and its history.

The Appointments tab is a month calendar. A dot under a date means something is booked that day, the day with a ring is today, and the filled day is the one you are looking at. Tap any day to see its meetings, and use the arrows to look back at past months.

After a meeting, mark it Happened or No show. You are then asked what came out of it and what happens next, and both go straight onto the company's card. That one habit is the difference between a pipeline and a list of names.

Walk into a meeting with the card open. Every email, every call note and everything they asked about is right there.

Meeting times and timezones

Every time in here is shown in one timezone, the workspace's, and it is labelled next to the time. It does not matter whether you are looking from Nairobi, Dubai or a hotel in Istanbul: the screen says the same hour to everybody.

When you book a meeting, type the time the buyer would say out loud. The reminder and the confirmation quote that same time back to them, with the zone on it.

Admins set the zone under Settings. Set it to the buyer's clock, not the office's, because the buyer is the one who has to show up.

Emails and what "opened" means

Log an email on a prospect card and you get a small tracking snippet to paste into it. After that, the card shows whether it was opened and how many times.

Treat opens as a hint, not proof. Some mail apps load images automatically, which counts as an open even when nobody read it. A reply or a click is real. An open is a nudge to follow up.

The dashboard

Every number on the dashboard opens. Tap Live prospects to see all of them, Appointments booked to see the meetings with their dates, Need attention to see what has gone quiet.

From any of those lists, click a row to jump straight into that company.

Where leads came from is worth watching. Over a few months it shows which way of finding buyers is actually working.

What each source actually produced is the one to judge by. It follows each channel the whole way: leads, meetings booked, meetings that happened, orders. A source with plenty of leads and no orders is costing you time, and this is where you see it.

Due to reorder lists accounts that bought before and have gone past their usual gap between orders. The system works the gap out from their own history, so a customer who buys every six weeks is flagged at six weeks and one who buys twice a year is not nagged in March.

Importing a list, and catching replies

Importing. Under Settings, save the spreadsheet as CSV and either choose the file or paste the rows. Always press Check the file first: it tells you how many will be added and how many are already here, and nothing is written until you press Import. Column headings can be whatever the client already uses.

Do the existing customers import before any outreach starts. Those companies then sit on the excluded list and can never earn a success fee, whatever they buy later.

Catching replies. Settings gives you a web address to paste into the reply webhook of the sending tool. After that a reply lands on the right card by itself, with the message on the timeline, the stage moved on and a follow-up set for today. A reply from someone we have never emailed opens a new card rather than disappearing.

Out-of-office notes and bounced mail are logged but deliberately do not move anybody up the pipeline, and anyone asking to be left alone is flagged instead.

The success fee

A fee is only ever charged on accounts we brought in. Your own existing customers are put on an excluded list at the start and are never charged, no matter what they buy.

Each month you confirm what an account was actually invoiced. Open their card, go to Orders and success fee, and record the amount with your invoice number.

The Commission tab then shows the fee on each order and the total due, and Print statement gives you the page that comes with the invoice. Nothing is calculated from guesses, only from figures you confirmed.

Event dates and reminders

Put the date of the customer's event on their card: when you add them, or later from the Event date box on the open card. The card then shows "Event in 5 days", "Event today" and so on.

Before each event you get two reminders, once each: one to confirm the label artwork, and a later one to confirm delivery. They show under Follow-ups due now and Events coming up on the dashboard.

If you change the event date, both reminders are set again for the new date. Tick Soonest event first above the board to put the closest events at the top of each column.

Changing your reminder times: go to Settings, change the number of days next to "Remind me to confirm label artwork" and "Remind me to confirm delivery", then press Save. The delivery reminder needs fewer days than the artwork one.

Orders and regular customers

When a customer confirms, open their card and go to Orders. Enter the date, the order amount and, if they have only paid part, what they have paid so far. Leave that box empty if they paid in full. The card moves to won.

When the rest of the money comes in, press Record a payment on that order. The amount still owed is worked out for you.

Tick Regular customer (reorders) on the card for offices, shops and homes that buy again. Only regular customers appear under Due to reorder on the dashboard. Event customers are left alone, because a wedding does not reorder.

Changing your reminder times: in Settings, "Remind me to chase a regular customer after" is the gap used until a customer has ordered twice. After that the system learns their own gap between orders.

Social posts

Open the Social tab. The first time, press Connect Facebook, Connect Instagram or Connect TikTok, sign in there, and you come straight back here.

  1. Tick the accounts you want to post to.
  2. Write the post once in the main box. If one platform needs different words, press Customise for that platform and change it there only.
  3. Add a photo. Instagram and TikTok will not take a post without one.
  4. Choose Post now, or Pick a time and set the day and time. Then press the button underneath.

Scheduled posts are listed underneath, and you can cancel one before it goes out.

Posting about an order

Open a card that has reached the last stage and press Draft a post about this order. The Social tab opens with a short post already written for that type of event.

The post never names your customer. Read it, change anything you like, add a photo of the bottles, pick your accounts and schedule it. Nothing goes out until you press the button.

Getting around quickly

The bell at the top shows your reminders, replies, new bookings and cards handed to you. The number on it is how many you have not opened. Tap one to go straight to that card.

Press Esc to close whatever is open. Use the search box above the board to find a company, a contact or a town.

The filters next to it narrow the board by lead source, by who owns the deal, or down to just the ones needing attention.

Everything works on a phone, so you can check the pipeline or today's meetings from anywhere.

Subaccounts

Every client gets their own subaccount. Their pipeline, team, stages and fee rates are theirs alone, and nobody in one subaccount can see another. You can open any of them from the switcher at the top left.

Workspace

Every meeting time on screen, in the reminder and in the calendar feed is shown in this zone and labelled with it. Set it to the buyer's clock, not the office's.

Leave it empty and drafted posts end with "Send us a message" instead.

{name} {company} {me} {org} are filled in. Say what you do in one plain line and ask for nothing. The message opens in WhatsApp for you to add the one thing you actually talked about, and it is never sent for you.

Lead sources

One per line. These tag where every lead came from.

Buyer types

One per line.

Existing customers (never charged a fee)

Paste the client's own customers and anyone they have quoted recently, one company per line. Any match in the pipeline is marked excluded straight away.

Import from a file

A spreadsheet saved as CSV. Column names can be anything sensible: company, contact, email, phone, town, buyer type, source. Duplicates are skipped.

Catch replies automatically

Paste this address into the reply webhook in your sending tool. Every reply then opens the right prospect card on its own, with the message on the timeline, so nothing sits unread in an inbox.

A reply from an address we do not have yet opens a new card, so nothing is lost. Out-of-office and delivery failures are logged but do not move anyone up the pipeline.

Treat the address like a password: anyone holding it can write into this pipeline. Create a new one if it leaks, then paste the new one into the sending tool.
